Acadeum Procedures


 

Adding Course Offerings (updated 7/15/2025)

Complete the Course Upload Template using courses approved by the Registrar’s Office

Complete fields A-P, R, S, and Y.

A course syllabus is required for each offering and should be uploaded to the Google Drive provided by Acadeum

Log in to Acadeum Course Share https://courseshare.acadeum.com/

On the Courses page, click the + UPLOAD COURSE button on the top right

On the Select Course Upload Method tab, choose Upload Course Details File and Next

To load the file, either drag and drop or browse for your saved file (Course Upload spreadsheet), then select Validate

Once the file has been loaded, a preview will appear with each course section in the file and whether or not it is validated or updated

  • If an error status appears, there is a formatting issue or missing information
  • To correct the error, you may click cancel

To move forward with upload after courses are validated or updated, click Next

If there are advanced settings, such as limited institution sharing, select the appropriate option

  • We currently use limited institution sharing for graduate classes
    • When limiting institutions, be sure to include John Brown University for visibility purposes

To finish, click Upload.


Adding Students (updated 7/15/2025)

Log in to Acadeum Course Share https://courseshare.acadeum.com/

Select the Students tab on the main menu

Select the Enrolling Students tab

Select + Create Student in the upper right

Select Add Student Details Manually

Enter student profile information

The student’s information can be found using Student Profile (SPRO) in Colleague

  • First and last name (middle name not required) can be found on the main screen of SPRO
  • Date of birth, gender, ethnicity, and race can be found in the Demographics section of SPRO (US Citizen not required)
    • Click the page icon next to Demographics
    • Select BIO - Biographic Information

Cancel out of BIO - Biographical Information and return to Student Profile (SPRO) screen

Student ID, email, level (undergraduate), and major can be found on the main screen of SPRO (advisor information not required)

Start date can be found in the Transcripts section of SPRO

  • Click the page icon next to Transcripts
  • UG should default - select OK    
  • This will take you to the STAT (Student Academic Transcript screen)
  • Fall start - use the 4th Monday in August
  • Spring start - use the 2nd Monday in January

Cancel out of STAT - Student Academic Transcript and return to Student Profile (SPRO) screen

  • Student country, street, city, state, and zip can be found on the main screen of SPRO (mobile phone not required)
    • For residency, use Arkansas (AR)
  • The notes field is not currently used for JBU students

Select Add Student


Registering Students (updated 7/15/2025)

Acadeum Support will send an email with the subject “You have received enrollments!”

The Registrar will accept or decline the enrollment request.

  • If accepted, the Registrar will add the non-JBU student’s information to the Q Drive and notify the JBU Help Desk via email.

Once the student has bridged, access Colleague’s form search option and type in RGN: Registration then enter.

The Student LookUp prompt will appear.

After typing in the student’s name, the search result will appear.

If more than one option appears, refine your search or select the correct result and then Open.

On the RGN - Registration page, type in the course prefix and then enter.

This will populate a list of courses available with the course prefix - select the correct online section, then Open.

The course will then populate to the RGN - Registration page.

Select Save All

Select Finish
